From QR code to coaching: a personal trainer’s guide to managing leads
Keep PT enquiries, messages, consultations and package recommendations connected, with useful follow-ups and a clear next step for each lead.

An enquiry might begin with a conversation on the gym floor, an Instagram message or a scan of your QR code. The first job is to make it easy for that person to tell you what they are looking for. Keep this first step short; a full coaching intake belongs later in the journey.
With MyElitePT, your PT profile, link or code leads to a short enquiry. A personalised top can carry the same route through its QR code. The answers arrive in your lead workspace, so the person’s goals and contact preferences are connected to the conversation rather than left in a separate form.
Use a CRM to keep context, not just names
CRM means customer relationship management. For an independent PT, the useful part is straightforward: know who enquired, what they want help with, what you have already discussed and what happens next. A list of email addresses on its own cannot do that.
MyElitePT connects enquiry answers, private messages, consultations and package recommendations. Before you reply, read what the lead has already shared. A relevant response to their actual question is more useful than sending everyone the same sales pitch. Do not treat an unanswered message as a confirmed booking or sale.
Move the conversation into one place
Give the lead one route to reply, ask questions and arrange an optional consultation. Explain what they need to do and why. If a conversation starts on social media, a clear handover helps avoid leaving half the discussion in one inbox and half in another.
When you message a lead in MyElitePT, an email points them to the private conversation. They can claim a free account, or sign in to an existing one, to read and reply on the web. They do not have to buy coaching or download the iPhone app just to discuss whether you are the right fit.
Follow up with a reason, and leave room to decide
A useful follow-up answers a question, reminds someone of a proposed next step or helps them review an offer. Check the conversation before sending another message. If you have already spoken directly, review the automatic schedule so your reminders still make sense.
MyElitePT shows the enquiry and offer follow-up schedule and lets you pause it. Later day-14 and day-30 reminders require marketing permission, and leads can stop automatic follow-ups from the email. Keep those preferences intact; an enquiry is not a reason to add someone to every campaign.
Make the handover to coaching deliberate
After discussing their needs, recommend a package that clearly describes the coaching on offer. Give the lead time to review it. A recommendation, a consultation and active coaching access are different stages; keep the status accurate so you know what is still outstanding.
Once coaching access is active in MyElitePT, the client confirms the detailed intake. You review that context, prepare the programme and publish it. The enquiry has started the relationship, but it does not replace the information or coaching judgement needed to make a suitable plan.

- Is each conversation connected to the correct lead?
- Does the person know the next step: reply, consult or review an offer?
- Have you checked their contact preferences and follow-up schedule?
- Are you distinguishing enquiries, offers and active clients?
