How to let PT clients book without losing control of your diary
A practical guide to client self-booking: set your working hours, protect unavailable time and connect appointments to coaching packages.
By MyElitePT · PublishedStart with the times you actually want to coach
Self-booking should give clients a clear choice without making your whole week available. Before sharing a booking link, decide when you want to deliver sessions and calls. Include the time you need for travel, preparing programmes and reviewing clients; an empty space in your diary is not automatically a bookable slot.
In MyElitePT, working hours set your regular availability. Block a date or a specific part of a day when you need time away. Clients then choose from the available times instead of sending a list of suggestions back and forth. Keep your working hours realistic and review them whenever your routine changes.
Separate a first conversation from a paid session
Someone asking about coaching is not yet the same as an established client booking a session. A consultation gives you space to understand their goals, answer questions and discuss whether your coaching is a good fit. It should have a clear purpose and next step, not be confused with a session included in a paid package.
MyElitePT leads can arrange an optional initial consultation from their enquiry space. They can have one active consultation at a time, so a change of plan is handled by rescheduling the existing appointment. Coaching clients book eligible sessions or calls against the credits included in their package.
Make the package and booking terms clear
Before someone buys, explain the sessions and calls included, how often the allowance applies, and what happens if an appointment changes. A shared understanding at the start is easier to work with than deciding a cancellation policy in the middle of a disagreement.
In MyElitePT, the package defines the included appointment credits. Clients see your booking terms before buying, and cancellations and returned credits follow that policy. Check your actual package setup rather than assuming every client has the same allowance.
Keep the appointment connected to the person
A calendar entry is useful, but it does not tell the whole story. Before a consultation, read the lead’s enquiry and goals. Before a coaching session, review the client’s programme and recent progress. This lets you start with context instead of repeating the same questions.
After the appointment, record the outcome and decide what needs to happen next. MyElitePT keeps consultation outcomes and the next actions in the coaching workspace. Marking a consultation completed or no-show helps keep the queue accurate; it is not evidence that a lead has bought coaching.
A quick setup check before inviting clients
Use this checklist when preparing your booking setup. Review the client-facing journey too, so the information you expect them to see is actually there.
- Set your regular working hours and block unavailable dates.
- Check the sessions and calls included in each package.
- Review the booking and cancellation terms clients will see.
- Make sure the enquiry and consultation route is easy to find.
- Explain that bookings and changes stay in the app, and tell clients how to message you if they need help.
